Privacy Policy

How our applications handle your information, including data you let us access through your Google account.

Effective November 4, 2026

Who we are and what this covers

Makai Bookkeeping (“Makai,” “we,” “us”) is a bookkeeping firm at 201 Merchant St #1800, Honolulu, HI 96813. This policy covers the software applications we operate, including any app that asks you to sign in with Google or to grant access to your Google account (together, the “Application”). It explains what information the Application collects, how we use it, who we share it with, and the choices you have.

If you're a bookkeeping client, your engagement letter also applies. Where the two differ on how client financial records are handled, the engagement letter controls.

Information we collect

Information you give us

Your name, email address, business name and anything you send us through the Application, such as messages, documents and receipts.

Information from your Google account

When you connect a Google account, Google shows you a consent screen listing exactly what the Application is asking to access. We receive only what you approve there. Depending on the features you use, that may include:

  • Basic profile: your name, email address and profile picture, used to sign you in and identify your account.
  • Gmail: messages and attachments related to your bookkeeping, such as invoices, receipts, bank notices and statements, so they can be recorded in your books.
  • Google Drive: files you choose to share with us or that the Application creates, such as statements, reports and supporting documents.
  • Google Calendar: availability and events needed to schedule meetings with you.

We never request more access than a feature needs, and you can decline any permission. Some features won't work without the access they depend on.

Information collected automatically

Basic technical data needed to run and secure the Application: IP address, browser type, the pages and actions you use, and error logs. We don't use advertising trackers.

How we use your information

  • To provide the features you use, such as signing in, collecting financial documents and keeping your books up to date
  • To communicate with you about your account and our services
  • To keep the Application secure, prevent abuse, and fix problems
  • To meet legal, tax and professional record-keeping obligations

We don't sell your information, and we don't use it for advertising.

Google user data

The Application's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • We use Google user data only to provide or improve the user-facing features you use in the Application.
  • We don't transfer Google user data to others except as needed to provide or improve those features, to comply with applicable law, or as part of a merger, acquisition or sale of assets with notice to you.
  • We don't use or transfer Google user data for advertising, including personalized, retargeted or interest-based ads.
  • We don't sell Google user data, and we don't use it to determine credit-worthiness or for lending.
  • No person reads your Google user data unless you give us permission for specific messages or files, it's necessary for security purposes such as investigating abuse, it's required to comply with law, or the data has been aggregated and anonymized for internal operations.
  • We don't use Google user data to develop, improve or train generalized artificial intelligence or machine learning models.

How we share information

We share information only in these cases:

  • Service providers that host or run parts of the Application for us (for example cloud hosting, email delivery and accounting software), bound by contract to use it only on our behalf and to protect it.
  • People you direct us to, such as your tax preparer or accountant.
  • Legal requirements: when required by law, subpoena or court order, or to protect the rights, property or safety of Makai, our clients or others.
  • Business transfers: in a merger, acquisition or sale of assets, with notice to you before your information becomes subject to a different policy.

Storage and security

Data is encrypted in transit (TLS) and at rest by our hosting providers. Access is limited to the people who need it to serve you, and accounts are protected with multi-factor authentication. OAuth tokens are stored encrypted and used only by the Application. No system is perfectly secure, but we'll notify you promptly if a breach affects your information, as required by law.

Retention and deletion

We keep information only as long as needed for the purposes above. Google user data is kept while your account is connected and deleted within 30 days after you disconnect it or ask us to delete it. Bookkeeping records we've prepared for you may be kept longer where law or professional standards require it (typically up to seven years).

You can revoke the Application's access to your Google account at any time at myaccount.google.com/permissions. To ask us to delete your data, email delos@makaibookkeeping.com.

Your choices and rights

You can ask to see, correct, export or delete the personal information we hold about you, and we'll respond within 30 days. Depending on where you live, you may have further rights under state law, such as the California Consumer Privacy Act; we honor them for all users.

Children

The Application is for businesses and isn't directed to children under 13. We don't knowingly collect information from them.

Changes to this policy

If we change this policy, we'll update the effective date above. If a change materially affects how we use data you've already shared, we'll tell you in advance and ask for your consent where required.
